Background & Rationale:

The Board has requested options for live streaming Board of Education meetings. A request for sealed bid was released. Two companies provided a response, but only one company provided a response that met the requested bid options. It is recommended that the Board select from one of the 3 options from the RFB. If option 1 or 2 is selected, the district may be able to realize cost savings through the re-use of some equipment such as projectors and screens that will not have an impact on the overall performance of the room solution. Option 1 - all new equipment with additional microphones and 3 cameras that auto-zoom to speaker area for a total of $79,591.25. Option 2 - reuse the existing room's control system as well as other equipment with additional microphones and 3 cameras that auto-zoom to speaker are for a total of $52,143.63. Option 5 - use all existing district equipment and purchase an audio/video processing system that will allow for live streaming for a total of $16,807.18. It is recommended that each option include a 10% contingency as there may be unexpected costs with any A/V solution. |
